SUMMARY:

Performs a wide variety of administrative and support services for SOM Admissions Office to maximize efficient workflow. Assists in the planning and support of program activities. Assists in coordinating office operations.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Responsible for providing administrative, analytical, computing and staff support for the department.  Creates and maintains spreadsheets and other forms for department access. Executes assignments and tasks requiring data collection, information gathering, analysis, data entry/retrieval, data base maintenance, and forms and graphics generation utilizing a variety of software packages.

Assists with managing prospective student applications in the admissions application management software program, (AMP) and the primary application management software program, (WebAdmit).  Enters admissions decision codes in AMP, WebAdmit and Banner.

Support the preparation of the Admissions Interview schedule including the scheduling of applicants and interviewers.  Processes Admissions fees received.

Serves as primary contact for the Admissions Office.  Screens calls and provides information in accordance with organizational policy.  Assists with front desk coverage.  Receives and appropriately handles incoming correspondence, makes appointments, schedules meetings, and responds to inquiries from prospective students and University staff.

Schedules Admissions Committee meetings and is the primary liaison to the Admissions Committee.  Schedules and processes Admissions Interviews and faculty calendar.

Develops and implements controls for work assignments under the direction of the Assistant Dean for Admissions.

Maintains essential records and assists in the maintenance of all activity files.

Prepares and/or compiles data for special reports and analyses, monthly reports, program evaluations, and other related reports within prescribed guidelines.

Completes purchase orders, check requests and other University forms and maintains log of the same.  Responsible to order supplies and monitor expenditures.  Maintains an inventory of recruitment and office supplies.

Undertakes routine writing and editing assignments; generates correspondence for signature; maintains mailing lists.

Maintains or assists in maintaining department accounts, monitoring expenditures and ensuring compliance with budgets.

Coordinates and maintains the department calendar. Exercising discretion, applies informed independent judgment to help manage the Assistant Dean’s time.  Makes travel arrangements and prepares meeting agendas.

Evaluates office procedures, establishes standards, and recommends and implements new or modified procedures as needed.

Serves as a liaison between the department and other administrative units such as Purchasing, Accounts Payable, Human Resources and Information Services and Technology.

Understands and adheres to legacy RowanSOM’s compliance standards as they appear in the Corporate Compliance Policy, Code of Conduct and Conflict of Interest Policy.

Keeps abreast of all federal, state and Rowan University regulations, laws and policies as they presently exist and as they change or are modified.

Performs other duties as assigned.

EDUCATION and/or EXPERIENCE

Bachelor’s Degree in Liberal Arts, Public or Business Administration, the Social Sciences or a related field, plus one (1) year of professional level experience in a business office, government agency, or university setting.  Experience with Microsoft Office, Excel, PowerPoint and Banner.  Required ability to plan and organize projects preferred.  Strong interpersonal skills are required.  Must be able to work occasional evening and weekend special events.
