Position Information

Hiring Department: EXTENDED UNIVERSITY

Posting End Date: Open until filled. This posting may close once a sufficient number of qualified applications have been received.

Hours: 40 hours per week, standard Monday- Friday 8:00am- 5:00pm, flexibility is required on evenings and weekends

FLSA status: exempt

Earliest Start Date: As soon as possible.

Salary: $35,568 annually

This position is security-sensitive and subject to Texas Education Code §51.215, which authorizes the employer to obtain criminal history record information. A valid driver's license issued by the State where the applicant resides and insurability as defined in UTS 157 may be required to perform the position's essential functions.



Purpose of Position

Under moderate supervision and with limited latitude for the use of initiative and independent judgment, coordinates and directly supports the business process functions of a Business Center, which provides various financial, analytical, and business process transactional services to faculty and staff within area of assigned responsibility.

Essential Functions

Serves as the point of contact as well as maintains new and current contracts and/or agreements for the college.

Receives, reviews, analyzes, and processes a variety of financial transactions. Transactions include a combination of accounting (posting and reconciling), purchase orders, procurement card, invoices, work orders, checks, vouchers, and records management.

Reviews and processes requisitions; confers with department for clarifications and specifications, and preferred supplies; ensures products or services are compatible with university networking systems; confers with vendors to obtain product or service information such as price, availability, and delivery schedule.

Audits invoices against purchase orders and researches discrepancies.

Investigates problems that vendors or purchasing agents have with obtaining payment for bills.

Tracks accounts payable, and receivables to ensure that payments are up to date.

Monitors and updates long distance calls list.

Arranges and processes travel plans, itineraries and compiles the supporting documents.

Assists with inventory of office equipment and supplies; orders for new equipment, submittals of asset transfers and/or arranges for surplus equipment to be removed from premises.

Allocates expenditures, encumbrances, receipts, receivables, etc., based on reports.

Receives, reviews, analyzes, and processes a variety of human resources transactions for completeness, accuracy, and compliance with procedures and regulations; such as recruitment, hiring, separations and other payroll/personnel related transactions.

Assists with the Dean's Office coverage of the front desk reception.

In accordance with established University policies and procedures; provides informational assistance to faculty, staff, and students regarding the university.

Assists with various special projects as needed.

Knowledge of all Microsoft Office software systems such as Human Resource and Finance Peoplesoft System, and other institutional software systems, such as Goldmine/Banner, MinerMall, Perspective Content and AceWare.

Maintains a high degree of confidentiality and ensures safety of all confidential and sensitive information this position is privy to.

Complies with all State and University policies.

Other duties may be assigned.

Supervisory Responsibilities: No supervisory responsibilities.
