Alumni Affairs and Development (AA&D)
Alumni Affairs and Development is a dedicated team supporting Harvard’s advancement activity through front-line fundraising, alumni and volunteer engagement, technology, prospect management and research, business process, events, communications, and many other areas.

AA&D is comprised of the University Development Office (UDO), Faculty of Arts and Sciences (FAS) Development, AA&D Resources, the Harvard Alumni Association (HAA), and the Office of the Vice President (OVP).
Reporting to the Executive Director of Principal Gifts in the University Development Office (UDO), this is a full-time non-exempt position in UDO that works with colleagues across the organization to advance University-wide fundraising.
Position Description
Portfolio Work
- Work in partnership with and support the work of the Executive Director of Principal Gifts, to lead and manage principal gifts fundraising for Harvard priorities.
- Support the frontline portfolio work of the Executive Director by serving as a strategy/thought partner, actively advancing next steps for cultivation, solicitation, and stewardship, guided by an understanding of University funding priorities and activities. Help prepare for and participate in high-level prospect strategy meetings.
- Manage the development of proposals, white papers, stewardship reports, correspondence, briefings, events, and requests for senior leadership development activity, in close partnership with colleagues on our teams for donor relations, research, events, and others. Ensure fundraisers’ timely and effective follow-up with donors, including tracking gift conversations, solicitation strategies, prepare follow-up steps and action items, keeping track of stewardship opportunities, liaising with Research team and supporting meetings with senior University leaders and faculty members. Coordinate donor visits in support of fundraising efforts.
- Draft briefings for development appointments of the President, Provost, Deputy and Vice Provosts, Deans and senior faculty members. Briefing preparation includes monitoring activity within and outside of the University, assessing University ties and affiliations, analyzing giving history, researching philanthropy outside of the University, and examining University's current priorities.
- Actively support both the Executive Director by reviewing and making suggestions with our Research partners to help stimulate ideas for donors and prospects. Regularly review donor activity across Harvard and philanthropic landscape to be best informed and participatory in strategy meetings.
- Adhere to internal gift processes by booking high-level and complex gifts and pledges. In addition, follow up on requests with partners to review gift terms and other gift related questions as needed.
- Manage routine data pulls and reporting and provide data analysis as needed.
- Work independently and as part of a team, in an extremely dynamic, fast-paced work environment, juggling multiple and changing priorities and responding to the strategic needs of the UDO Principal Gifts team more broadly. Be a resourceful, quick thinking, and confident critical thinker. Anticipate work and act proactively and decisively. Respond swiftly to challenges. Juggle multiple and changing priorities. Be comfortable interfacing with senior University leaders and high-capacity donors, with a high level of collegiality and discretion.
- Assist the Executive Director by developing a cohesive fundraising strategy for principal gifts engagement across the region using creative tools and methods of illustrating activity and information flow across the University by pulling ad-hoc reporting, translating the data, recommending solutions, and implementing identified solutions in coordination with internal and external partners.
- Ensure partnership with Development Planning to ensure that our Principal Gifts donors are appropriately and effectively represented with the President and Provost.
- Represent the UDO fundraising team professionally and positively.
- Perform other related duties as assigned.

Basic Qualifications
- 2 years of relative experience.
- Solid computer skills in a PC and network environment, working knowledge of Microsoft Word and Excel.
- The ability to work occasional overtime, evening and weekend hours is required.
Additional Qualifications and Skills
- Excellent organizational skills required. Capable of managing multiple assignments from multiple sources; be efficient, organized, detail oriented, and able to meet project deadlines.
- Exceptional written and verbal communication skills, and the ability to comprehend and summarize detailed and complex research reports and press articles to create briefings.
- Ability to maintain confidentiality and exercise sound professional judgment and possess a strong commitment to client service.
- Strong interest in higher education and a working knowledge of national and global issues is required.
- Must be professional, enthusiastic, collaborative, focused, motivated to learn and flexible to change, reliable, self-motivated, and able to work effectively with people from different backgrounds and experience.

Work Format Details
This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
This position is hybrid and may be subject to change due to any operational adjustments in the department.
