Job Summary

HGSE is a diverse community of learners, teachers, and employees who are passionate about changing the world through education and striving for maximum impact in the field of education. Reporting to the Assistant Director of Digital Communications, the Digital Production Coordinator is responsible for daily production tasks on HGSE’s flagship website, ensuring that updates made through the HGSE content management system (CMS) are accurate, appropriate, and consistent with the HGSE mission and style. Serving as the main conduit for content updates, from submission through publication, the Digital Production Coordinator will oversee all web editing workflows for external-facing institutional webpages, calendar postings, and faculty profiles and serve as final approval before publication to the live site. They will support the Assistant Director of Digital Communications and the Director of Marketing on regular updates to top-level sections of the site, including Community, Events, and others. 

Position Description

Web production and editing (65%)

  • Implement content edits, image changes, and organizational improvements to top-level sections on the HGSE website.
  • Monitor and approve CMS updates from departmental site owners and CMS editors, ensuring they are grammatically correct, in line with best web practices, conform to the HGSE style guide, and fit within the standards and tone of the HGSE website.
  • Collaborate with Marcom leadership and IT Web Services teams to identify significant areas of improvement and opportunities for evolution within the HGSE website.
  • Work with faculty and faculty coordinators to make sure website profiles are updated, complete, accurate, and consistent with HGSE style. 
  • Approve items for the public calendar, ensuring they conform to events standards and written descriptions adhere to HGSE style.
  • Assist with the web production of editorial content, including Ed. magazine, as needed.
  • Track the use of photos throughout the website, ensuring they remain current and that there is minimal repetition of imagery
  • Assist with other marketing, communications, and web tasks, as needed
  • Light photo editing, as needed.

Web processes and database management (25%)

  • Work with the IT web services team to optimize the overall content editing workflow of HGSE, including user roles and permissions, moderation workflows, and documentation. 
  • Maintain and distribute, as needed, important process documentation for website changes, calendar submissions, and faculty profiles.
  • Manage the organization and access permissions for the central HGSE photo database, including implementation and refinement of a robust tagging system.
  • Assist with management of other digital databases, as needed.

Other tasks (10%)

  • Assist Marcom colleagues with hiring, invoicing, and payment and reimbursement processes within the Harvard procurement systems.
  • Assist with budget tracking for all Marcom expenses, including for events and Ed. Magazine. Provide periodic budget reports to Marcom leadership.
  • Manage purchases for the office, including equipment and office supplies.
  • Assist with other duties as assigned.

Basic Qualifications

  • 2+ years of related experience. 
  • Excellent written and verbal communication skills.
  • Strong attention to detail, deadlines, and ability to prioritize.
  • Proficiency in Microsoft Office Suite.

Additional Qualifications and Skills

  • Bachelor's degree preferred.
  • Some experience in higher education or nonprofit communications desirable. 
  • Understanding of CMS concepts including taxonomy, user roles and permissions, open-source modules, and field data a plus.
  • Experience with photo database management tools, like SmugMug, and photo editing tools such as Photoshop,a plus.
  • The ability to interact tactfully and professionally with people from different backgrounds, experience levels and in all types of situations. 
  • Ability and willingness to learn new systems and technology as needed.
  • Ability to work in a fast-paced, deadline-driven environment, shift direction when needed, and maintain diplomacy and a sense of humor.
  • Must be able to work independently and as part of a team.

Work Format Details

This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
