Job Summary

The HUDS Facilities & Operations Manager is responsible for the day-to-day oversight of facilities maintenance and repairs, coordinating kitchen projects, and ensuring safety standards and protocols are adhered to across all Harvard University Dining Services (HUDS) locations. This dynamic role requires a detail-oriented professional who can effectively manage multiple tasks and projects simultaneously, foster a safe working environment, and continuously seek improvements in operational efficiency.

Position Description

Facilities Oversight:

  • Manage the daily operations of facility maintenance and repairs across all HUDS locations.
  • Perform regular inspections to ensure facilities are in excellent condition and meet the municipal, building, fire, and health codes.
  • Develop and implement a preventive maintenance schedule to minimize downtime and ensure equipment longevity.
  • Coordinate with external contractors and vendors for specialized repairs and services.
  • Maintain accurate records of all maintenance activities, including work orders, repairs, and inspections.

Kitchen Projects Coordination:

  • Collaborate with chefs, kitchen staff, and management to identify, prioritize, and execute kitchen projects.
  • Plan, schedule, and oversee the execution of kitchen projects such as equipment installations, renovations, and upgrades.
  • Ensure all kitchen projects are completed on time, within budget, and to the required specifications and quality standards.
  • Liaise with other university departments and stakeholders to minimize disruptions to dining services during project implementation.
  • Track project progress, manage budgets, and provide regular updates to management.

Safety Oversight:

  • Develop, implement, and monitor safety protocols and procedures to ensure compliance with university policies and government regulations.
  • Conduct regular safety audits and inspections in all HUDS locations to identify and mitigate potential hazards.
  • Train staff in safety practices, including proper equipment use, emergency procedures, and hazard communication.
  • Manage the incident reporting process, investigating, and documenting workplace accidents and injuries.
  • Work closely with the Risk Management department to address safety concerns and implement corrective actions promptly.

Basic Qualifications

  • Bachelor's degree or equivalent work experience required
  • Minimum of 5 years’ relevant work experience in facilities and safety management

Additional Qualifications and Skills

  • Bachelor’s degree in Facilities Management, Engineering, Safety Management, or a related field preferred.
  • Experience in a food service or university setting preferred.
  • Expertise in facilities maintenance, building systems, and safety regulations.
  • Proficiency in project management with a proven ability to oversee multiple projects simultaneously.
  • Strong problem-solving abilities and attention to detail.
  • Effective communication and interpersonal skills, with the ability to collaborate with diverse teams.
  • Proficiency with facilities management software and relevant computer applications.

Physical Requirements

  • Ability to perform physical tasks related to facility inspections, including standing, walking, climbing ladders, and lifting up to 50 pounds.
  • Availability to respond to emergencies outside of regular working hours as needed.

Working Conditions

  • This role is primarily on-site, working across various HUDS locations across the university campus.
  • May require occasional evening and weekend work to oversee projects or respond to urgent maintenance needs.

This position is based primarily on-campus, in Massachusetts. This may include in-person during emergency situations (if applicable). Additional details will be discussed during the interview process. Certain visa types may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
