The HR Specialist – Employee Housing & Payroll is responsible for providing excellent internal and external customer service while supporting our Employee Housing program and Payroll processing.

HR Specialist Responsibilities:

Employee Housing (50%)

  • Oversees Employee Housing request forms.
  • Generates and distributes Employee Lease Addendums and ensures signatures are received before move-in.
  • Responsible for rent discount maintenance and employee identifiers in Yardi.
  • Monitors employee resident delinquency and advises managers on disciplinary action processes.
  • Sets up payment plans, if needed and when applicable.
  • Enters and removes employee housing deductions into HRIS/Payroll system.
  • Oversees workflow for annual employee housing renewals.
  • Primary point of contact in Employee Housing email inbox; responsible for maintaining inbox/responsiveness.
  • Identifies process improvements and makes recommendations, as needed.
  • May assist with generating, distributing, and countersigning lease agreements and welcome letters.
  • Collaborates with Accounting Team as questions arise.

Payroll & HRIS Administration (45%)

  • Assists with bi-weekly payroll processing.
  • Troubleshoots employee and manager questions/challenges related to Payroll & HRIS system.
  • Provides training and support to managers related to timecards, EANs, etc.
  • Tracks and mitigates payroll errors.
  • Primary owner of PTO donations, referral bonuses, education fund adjustments, and expense requests.
  • Oversees employee change form approvals (ex: transfers, pay rate changes, etc.).
  • Assists with employee login issues.
  • Schedules and sends company notices, as requested.
  • Primary owner of payroll related onboarding tasks such as cost allocation setup, New Hire Fees, Payroll Fees, Worker’s Comp fees, and cell phone/auto allowance setup.
  • Adds/removes properties from ExponentHR during Transitions, Dispositions, and Lease-ups.
  • Responsible for garnishment and child support withholding administration.
  • Processes and tracks payroll corrections as needed, including voids/rebuilds, off-cycle payroll batches, etc.
  • Administers Pay Card setup for associates without Direct Deposit.
  • Ensures timely processing of Oregon final paychecks.
  • Audits and maintains FLSA classifications.
  • Ensures cost allocation accuracy for split site associates
  • Maintains awareness of payroll law

Other duties as assigned (5%)

  • Assists with monitoring and maintaining shared email inboxes.
  • Reviews and approves new vendors with Accounting
  • Oversees incoming HR related mail scanning, distribution, and filing.

Desired Skills & Experience:

  • Bachelor’s Degree or Associate’s Degree in human resources, business, or another related field, or transferrable skills and experience necessary to perform the essential functions of the position
  • 1-2 years’ experience with OnSite, Yardi, and reviewing resident ledgers, or combination of skills and experience to meet essential duties of the role.
  • Property management industry knowledge and/or experience.
  • Familiar with ExponentHR or demonstrated proficiency in another HRIS and/or payroll software.
  • Proficient in Smartsheet and Microsoft Office Suite including confidence in using Excel.

  • Excellent administrative skills including time management, prioritization of tasks, organization, and ability to meet deadlines.
  • Strong interpersonal and communication skills, both written and verbally.
  • Strong attention to detail and organizational skills.
  • A sense of urgency when it comes to high priority payroll or employee housing fixes.
  • Demonstrated relationship-building skills with associates at all levels.
  • Ability to work independently while working effectively as part of a broader team.
  • Ability to use critical thinking to discern priorities personally and for the department.

Work Environment & Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Ability to travel locally (Greater Seattle Area) for events or meetings (30-40%).
  • Must be able to lift to 15 pounds, on occasion.
  • Hybrid work environment with the option to work 100% at Home Office in Seattle, WA
