Summary/Objective:
The Inventory Manager oversees all aspects of warehouse inventory operations, ensuring seamless e-commerce fulfillment, inventory accuracy, and point-of-sale (POS) system execution. This role requires a proactive leader with warehouse experience who can optimize operations, align inventory processes with financial goals, and lead a team responsible for inventory management, fulfillment, and stock replenishment. Additionally, this position plays a critical role in operational efficiency, workflow improvements, and cross-functional collaboration across departments.
Essential Functions of the Job:
Inventory & Warehouse Management
- Oversee warehouse operations to maintain accurate stock levels across all sales channels.
- Conduct regular cycle counts, reconcile inventory discrepancies (including negative inventory), and implement corrective actions.
- Monitor stock levels, manage replenishment, and ensure timely restocking for both in-store and online sales.
- Analyze inventory data to identify trends, optimize stock levels, and reduce costs.
- Ensure proper storage, organization, tagging, and documentation of all inventory items.
- Manage returns and damages received at both the warehouse and retail store, ensuring proper handling, documentation, and resolution.
- Work with the retail coordinator to communicate short shipments, incoming damages, and any vendor-related issues.
Warehouse Operations & Logistics
- Manage workflows from receiving shipments to organizing and distributing inventory.
- Maintain best practices for warehouse safety, storage, and efficiency.
- Ensure warehouse organization and cleanliness for optimal working conditions.
- Order and maintain operational supplies for e-commerce and store operations, office supplies, including shopping bags, tissue, poly bags, shipping boxes, packing tape, etc., while staying within budget.
- Maintain personal protective equipment (PPE) at the warehouse in partnership with Safety and Security and P&C.
Team Leadership & Training
- Lead, train, and supervise a team of inventory associates responsible for picking, packing, shipping, and receiving.
- Schedule the inventory associate team in alignment with labor budgets.
- Set performance expectations and foster a collaborative, high-performing team environment.
E-Commerce Fulfillment & Customer Service
- Oversee fulfillment operations, ensuring accurate and timely order processing, packing, and shipping.
- Streamline workflows to enhance fulfillment efficiency and improve customer satisfaction.
- Provide oversight into online customer service inquiries (email and telephone) received via the store's general inbox as well as other museum departments, ensuring timely and professional responses.
- Assist with special requests, such as gift wrapping, notes, and specialized handling for internal and external clients.
POS System & Financial Oversight
- Own the execution of markdowns, price changes, and promotions within the POS system.
- Partner with the VP and buying team on inventory planning and replenishment, ensuring alignment with the open-to-buy plan.
- Monitor and resolve inventory discrepancies within system data.
- Work with the Senior E-Commerce Manager and IT on technical developments to improve productivity and resolve fulfillment-related system errors.
- Track key performance indicators (KPIs) and identify opportunities to improve efficiency and reduce costs.
Collaboration & Special Projects
- Partner with the buying team, retail store staff, e-commerce team, and finance to align inventory priorities with organizational goals.
- Generate and maintain inventory reports, including stock levels, reorder points, and sales trends.
- Lead physical inventory counts and audits to ensure accuracy.
- Support internal departments with special projects, such as Oscars partner shipping, gifting initiatives, and other cross-functional needs.
- Assist with off-campus retail initiatives, including pop-up shops, book signings, and special events.
- Continuously seek opportunities to improve workflow, enhance productivity, and apply a LEAN operational efficiency mindset to inventory management, warehouse operations, and order fulfillment.
Supervisory Responsibilities:
- Supervise Inventory Associates.
Required Competencies:
- An associate degree or an equivalent combination of education and relevant work experience.
- 3+ years of inventory management, warehouse operations, or logistics experience, preferably in retail or e-commerce.
- Strong leadership and team management skills with experience in training and supervision.
- Advanced proficiency in inventory management systems and POS software.
- Detail-oriented with strong problem-solving and organizational skills.
- Ability to analyze inventory data and optimize stock levels to improve efficiency and reduce costs.
- Excellent communication and collaboration skills across departments.
Preferred Qualifications:
- Multi-lingual skills a plus.
- Experience with Teamwork POS system a plus, Excel (can maintain complex spreadsheets), and Microsoft Office Suite.
Physical Demands:
- Intermittent walking, standing, and stooping, with accommodations available to meet individual accessibility needs upon request.
- Remain in a stationary position and work at a computer.
- Ability to move and transport up to 50 lbs.
- Ability to operate a pallet jack and forklift.
Work Environment:
- Working in public spaces.
- Working in a warehouse.
Travel:
- The percentage of travel time expected for the position is 30%. The main location of work is the warehouse, with 1-2 days at the museum and at home.

Compensation: The expected salary for this role is $75,000.00. The actual base pay offered will be determined by factors such as experience, skills, training, location, certifications, education, and other factors permitted by law. Decisions will be made on a case-by-case basis.
