Job Summary
Come be part of a small professional team, supporting Harvard’s Institute for Retirement and Learning (HILR); a Cambridge-based program serving retired lifelong learners committed to ongoing, intensive liberal arts study.
Position Description
The HILR IT and Facilities Support Assistant reports to the Assistant Dean and Director, HILR. Duties include:
- Perform Audio/Visual set up and troubleshooting for HILR’s campus classes and speaker events and Zoom support for its virtual sessions.
- Orients Participant Course Leaders in use of classroom podium equipment and provides one-on-one tech support to HILR’s Participants in navigating Harvard platforms on their personal devices, including troubleshooting issues with their use of Zoom and Canvas.
- Assists with custodial and hospitality needs including room re-sets, occasional moving of chairs and folding tables, moving supplies to or from storage rooms, making coffee, laying out and clearing up catering deliveries for occasional events.
- Performs clerical tasks as part of the HILR office team such as posting flyers in the building, occasional photocopying and scanning for course leaders, answering phone calls to direct as needed, collating and distributing course evaluation forms and responses, downloading attendance records from Canvas and loading them into SharePoint, updating online records.
Basic Qualifications
- At least 3 years' of experience in AV/IT customer service support in an office environment.
- Education beyond high school may count toward experience.
Additional Qualifications and Skills
- Position requires strong grasp of Mac and PC Operating Systems; commercial audio and video systems; and computers and projectors.
- Proficient with Microsoft Office (Word, Excel, Powerpoint, etc.).
- Basic knowledge of Zoom and Google Forms.
- Experience with Canvas a plus; willingness to learn Canvas.
- Patience dealing with an older population, many of whom have anxieties about technology, is essential.
- Experience providing tech support to senior citizens deploying a range of mobile and desktop devices a plus.
Physical Requirements
Ability to lift 50 lbs. Ability to bend and lift with ease.
Working Conditions
This is a 9-month seasonal position from September to May.
Schedule options:
- 9:30am – 3:30pm, Monday – Friday (no lunch break)
- 9am – 4pm, Monday – Friday (one-hour unpaid lunch break)
Please note, as per the HUCTW contract, the unpaid meal hour can be used to create a flexible schedule when discussed and mutually agreed upon in advance between the manager and employee.

Work Format Details
This position requires being on-site 4 to 5 days a week when classes are in session (September – December, and February – May). The work location is Cambridge, MA.
Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.

The Division of Continuing Education (DCE) comprises four academic units serving about 30,000 domestic and international students annually, which allow Harvard to meet the learning needs of intellectually curious and highly motivated students from high school through retirement. Established in 1910, the Harvard Extension School (HES) offers access to Harvard faculty for a diverse community of adult learners, enrolling about 15,000 students.
