We are seeking an organized, detail-oriented, and proactive Office Manager to join our growing auto finance business unit within AutoNation. As the Office Manager, you will oversee day-to-day administrative operations, ensure the smooth running of the office environment, and support our team to enhance productivity. The ideal candidate will be a strong communicator with a customer-focused mindset and the ability to handle multiple tasks efficiently.

  • Office Operations Management:
    • Oversee and manage daily office activities, ensuring a clean, organized, and professional environment.
    • Monitor office supplies and inventory, ensuring adequate stock levels, and placing orders as needed.
    • Manage office equipment and coordinate maintenance or repairs when necessary.
    • Landlord Management.
  • Administrative Support:
    • Assist with administrative duties such as filing, scheduling meetings, managing calendars, and responding to emails.
    • Prepare and distribute internal communications, reports, and other business documents.
    • Handle incoming calls, mail, and other correspondence, directing inquiries to appropriate personnel.
  • Team Coordination:
    • Coordinate and assist in organizing meetings, events, and team-building activities.
    • Liaise with other departments to ensure smooth office operations and effective communication.
    • Provide support for onboarding new employees, including setting up workstations, equipment, and training materials.
  • Customer Service:
    • Provide a high level of customer service by managing inquiries and requests from clients, partners, and vendors.
    • Address client concerns, escalations, and requests in a timely and professional manner.
  • Compliance & Documentation:
    • Ensure that office operations comply with industry regulations and company policies.
    • Maintain and organize financial documents, contracts, and other critical records, ensuring data privacy and security.
  • HR & Payroll Support:
    • Assist attendance tracking, and HR-related documentation.
    • Help with recruitment tasks, including posting job openings and coordinating interviews.

Qualifications:

  • Bachelor’s degree in Business Administration, Management, or related field preferred.
  • Minimum of 3 years of experience in office management or administrative support, preferably in a finance or banking environment.
  • Strong organizational skills with the ability to multitask and prioritize.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
  • Excellent written and verbal communication skills.
  • High level of professionalism and attention to detail.
  • Ability to maintain confidentiality and handle sensitive information.
  • Knowledge of auto finance industry or financial services is a plus.

Physical Requirements:

  • Ability to sit for long periods, perform desk duties, and occasionally lift or move office supplies or equipment.
