As a production coordinator, you will attend weekly meetings with the visual media and photography department to discuss upcoming projects. You will work with the team to determine coverage and develop a production plan that aligns with SCAD standards. Responsibilities include opening new ClickUp requests that include all pertinent information after receiving approval from the senior director. Relevant information encompasses the requesting department, a project description, time, date, location, deadlines, and contact details. You will then notify the digital asset manager that the project is complete and ready to be uploaded to the system. Additionally, you will add videographer and photographer schedules to the department calendar using information obtained from the communications manager or project management system and manage the shoot calendar to ensure proper information is provided to the producers, videographers, and photographers. You will also assist with the recruitment and coordination of student models for photo/video shoots.

The person in this role will assist with securing location permits for off-campus shoots, obtain invoices, and submit purchase requests. They will also manage all related contractor and freelance paperwork and schedules, including the Human Resources Independent Contractors Checklist, Freelance Master Services Agreements, W9s, and more. This individual will complete a Scope of Work (SOW) and/or Copyright Assignment Agreement (CAA) at the start and/or completion of each job that utilizes freelance resources. Additionally, they will schedule rental equipment and generate purchase requests or payments after receiving approval from the senior director or photography director. Among other duties, the person in this position will assist the legal department with rights and clearances and order office supplies.

The ideal candidate is a motivated self-starter who can work well both independently and collaboratively. The candidate is detail-oriented, with excellent organizational, communication, and problem-solving skills. They can successfully multitask and complete tasks on time in a fast-paced environment. They will bridge the gap between technical and creative needs.

Minimum qualifications:    

  • Bachelor’s degree
  • Experience in communications and media studies (e.g., film and television, information technology, multimedia, or broadcasting)

Preferred qualifications:    

  • Familiar with Adobe Creative Suite

Certificates, licenses, and registrations:

  • Valid driver’s license

Travel required:

  • 10–20%

Work hours: The university work week is Sunday through Saturday. Most offices are open Monday through Friday 8:30 a.m. to 5:30 p.m. To accommodate business needs, employees may be assigned to other workdays and/or hours, including weekends and evenings.
