Overview

Seeking an Operations Analyst to provide operations and administrative support to a military, federal, and contractor team at a US Army O5 level Product Lead office for activities related to enterprise resource planning (ERP) capability support and modernization efforts. The successful candidate is comfortable interacting with key leadership, is articulate and proactive, with the ability to shift between various priorities. The Product Lead office staff work in a fast-paced environment to prioritize and complete assigned tasks with minimal guidance, seeking guidance and clarification as required. Work location is client site, Fort Belvoir, VA.

Note: Telework will be acceptable with the requirement to visit client offices at Fort Belvoir, Virginia at least once per week.

Responsibilities

  • Manage daily operations for an O5 Product Lead office.
  • Coordinate with the staff for weekly top priorities, accomplishments, and leadership action items.
  • Participate in status meetings for the dissemination of information, suspense tracking, or other action items.  
  • Engage with leadership, primary staff and action officers for tasks assigned in the Enterprise Task Management Software (ETMS2).
  • Provide event coordination and protocol support for official functions (Charter Ceremonies, Promotions, and Retirements) or organizational activities. 
  • Participate in calendar reviews and synchronize activities within the Product office portfolio. 
  • Assist in organizing, formatting, typing, proofreading, and editing briefings, reports, manuals, and standard operating procedures (SOPs). 
  • Create, organize, and edit PowerPoint briefings related to the portfolio of Defense Business Systems meetings, status, Annual Performance Reviews (APR), Program Status Reviews (PMR), etc.
  • Communicate across organizations to facilitate senior level meetings. 
  • Facilitate on-boarding and out-processing actions for Civilian, Military, and Contractor workforce.
  • Coordinate, staff, and track formal interface agreements/documents to include obtaining intermediate reviews and approval signatures.
  • Act as liaison between the Product Lead and stakeholders.
  • Provide graphic support for corporate reports, briefings, deliverables, and various projects.
  • Develop courses of action analyses, monthly activity reports, meeting summaries/minutes, and other products designed to effectively communicate technical information supporting the program.
  • Identify and track project risks and mitigation strategies.
  • Prepare formal stakeholder communication and briefing material.
  • Execute business process analysis and re-engineering to Identify and implement process improvements related to automation.
  • Produce regular summary reports of project accomplishments.
  • Manage multiple priorities independently and/or in a team environment to achieve goals.

Qualifications

Required:

  • Bachelor’s degree
  • Must possess and maintain a Secret Security Clearance
  • 5+ years’ business operations management experience (e.g. experience focused around: program/project management, stakeholder management, risk management, and task management).
  • Excellent communication skills, both verbal and written, excellent organizational skills, the ability to establish and maintain working relationships with internal and external stakeholders, must have the ability to work independently and take a proactive role.
  • Experience and proficiency with MS Office Online Suite, Teams, and SharePoint.

Desired:

  • Project Management Professional (PMP) or equivalent certification
  • Agile Certifications
  • Experience identifying and managing project risks.
  • Familiarity with logistics business processes, and the Army’s Logistics Defense Business Systems
  • Experience working for/within Army and/or DoD organizations either as military personnel, government civilian, or as a contractor supporting the Army.
  • Experience with ServiceNow
  • Experience with Jira / Confluence
