Summary/Objective:
The Senior Coordinator position is an outstanding opportunity to serve as an administrative liaison to the Academy Museum Board of Trustees. You will be responsible for organizing and implementing support functions related to the Board of Trustees and trustee cultivation.


Essential Functions of the Job:

  • Schedule and coordinate logistics, reporting, correspondence, technology, and additional support for meetings, orientations, and retreats of the Academy Museum Board of Trustees and its committees.
  • Assist in setting up the annual board and committee meeting schedule and maintain a calendar of all board-related activities.
  • Prepare agendas, create presentations and documents, attend meetings, produce meeting minutes, track attendance, and outline action items.
  • Maintain historic records of all board and committee proceedings, board documents, and files, including the bylaws, systems for sharing and referencing documents, CRMs, and necessary correspondence.
  • Engage and assist in positive and effective communication strategies with staff, trustees, additional stakeholders, and their assistants.
  • Create and provide reference information and guidance to committee liaisons and administrators.
  • Answer incoming calls and emails, relay messages, answer questions, clarify information, respond to requests, resolve problems, and refer people to the appropriate staff.
  • Assist in the creation and implementation of processes and materials for board-related activities.
  • Research various board-related initiatives or projects and prepare summaries, proposals, and/or reports of findings, as required.
  • Draft correspondence for Chief of Staff and Museum Director and President as needed.
  • Provide administrative support for various board and executive office-related initiatives.
  • Keep the Chief of Staff abreast of significant matters related to the board and regarding trustees.
  • Handle confidential and sensitive materials with discretion.
  • Support board-related gatherings and events as needed.
  • Other duties as assigned.

Required Competencies:

  • 4+ years of professional administrative experience, preferably having supported a nonprofit board.
  • A commitment to diversity, equity, accessibility, and inclusion.
  • Advanced skills in the Microsoft Office suite.
  • Familiarity with CRM and board platform systems.
  • Proven ability to independently manage multiple priorities with a high degree of professionalism.
  • Excellent written and oral communication skills.
  • Strong organizational and project management skills with high attention to detail.
  • Ability to identify meeting participants and extensively interact with a diverse group of stakeholders appropriately.
  • Ability to respond quickly and sensitively to questions and concerns.
  • Flexibility to work some early mornings, evenings, and weekends.

Preferred Qualifications:

A bachelor's degree is preferred.

Compensation: The expected salary for this role is $25.00 per hour. The actual pay offered will be determined by factors such as experience, skills, training, location, certifications, education, and other factors permitted by law. Decisions will be made on a case-by-case basis.
