A valid driver's license issued by the State where the applicant resides and insurability as defined in UTS 157 may be required to perform the position's essential functions.Purpose of PositionThis position provides coordinating services, keeps official records, and executes administrative policies & procedures determined by or in conjunction with other officials for youth programs and continuing education programs. Develops and organizes programs within Professional and Public Programs. Accurately and efficiently inputting, updating, and managing data into database, requires strong attention to detail and organization.Essential FunctionsThe individual coordinates and develops programs and youth and adult courses, advises faculty and staff on program needs, and is responsible for planning and execution of logistical support for P3 programs.Under the program manager's supervision, spearhead the planning and execution of department goals. will include hiring camp assistants and camp instructors, scheduling instructors & assistants, scheduling and organizing classes, record keeping, logistical support, financial duties, table events on weekends.The individual oversees classes to maintain program quality, collects participant feedback, and makes necessary adjustments based on evaluations.Accurately and efficiently input data into database (Aceware). Marketing and advertising Youth and adult course catalog to the Marketing department. Promote programs at local events and on social media, collaborate with partners in the community to increase program awareness.Identifies target audiences, assesses their potential interest in continuing education programs, and develops training opportunities.Certifies Youth Programs comply with all State and University System Youth Programs Regulations.Recruits to identify instructors for appropriate programs. Responsible for counseling interested people regarding instructor's requirements, policies, and procedures; serves as a contact for instructors and course participants; participates in retention and intervention for participants.Prepares and monitors budgets to ensure costs do not exceed allocated funds. Keeps track of course refunds and instructor reimbursements for camp supplies.Develops methods for feedback from course participants and evaluates course success, adjusting as appropriate. Reviews and analyzes practices and procedures; makes recommendations to ensure established standards are met.Develops and assists in the coordination of communication efforts/marketing plans, both short and long-range, for the program by researching and releasing information, through multimedia outlets, to current/prospective clients; develops brochures, newsletters, flyers, booklets, and other publications for internal and external use.Researches, analyzes, and monitors financial, technological, and demographic factors, to capitalize on market opportunities and minimize the effects of competitive activity.Evaluates market reactions to advertising programs, merchandising policy, and content and design of publications to ensure the timely adjustment of marketing strategy and plans meet changing market and competitive conditions.Compiles and submits reports as required by management, state, local, and federal regulatory agencies.Speaks to individuals, groups, and organizations to explain services and to promote cooperation and understanding; serves on committees, boards, or councils.Knowledge of all Microsoft Office software and ability to learn and use institutional software systems.Other duties may be assigned.Supervisory Responsibilities: Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.QualificationsTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
