Job Summary

Reporting directly to the Campus Director of Nursing, assists with providing administrative leadership and management of a comprehensive registered nurse program (graduate and undergraduate) in support of University, campus, and/or departmental goals in order to assure compliance with programmatic accreditation, internal consistency, and graduate outcomes that meet workplace and placement expectations. Develops, and implements administrative systems and procedures in support of programmatic operations such as records management, records processing and documentation systems. Oversees and directs staff, enables an environment which fosters creativity, responsiveness, and self-responsibility assigns specific tasks and responsibilities and sets priorities as needed. Participates and assists with budget preparation and fiscal administration with the focus on budget and finance, payroll, personnel, ATI liaison, information technology, facilities, and other program resources.

Essential Functions and Responsibilities

  • Responsible for day to day leadership and administration of non-nursing programmatic support for departmental management and supervision of staff, internal and external communication and other management functions.
  • Leading & Managing Staff
    • Participate in the regular meetings with faculty and staff to share information, guidelines and procedures, coordinates activities, and to further communicate across the assigned department.
    • Manage the Faculty and associates' recruitment process in collaboration with the Campus Director of Nursing. Includes forecasting of staff, open positions in Taleo, pre-screening candidates if necessary, schedule interview and conduct interviews. In collaboration with other nursing leadership, make selection and start the recruitment in collaboration with assigned TAP.
    • Identifies nursing-teaching specialties; OB, PEDs, Psych., Adv., MS, Public Health, as defined by BRN and complete the BRN required approval forms.
    • Create PARS and rankings, and process Transfer Request Forms.
    • Manage the campus onboarding program.
    • Assist Campus Director of Nursing with associates' performance, coaching, re-train, and retention.
    • Collaborate with HR to process LOA, tuition reimbursement, outside seminar, and PIC forms.
    • Act as a project manager for the annual associates' performance evaluation process. Schedule classroom visits, and required documentation for the new fiscal year.
    • Supervise the administrative staff assigned to nursing department.
    • Supervise Federal Study Work Program students assigned to nursing.
    • Assist the Campus Nursing Leadership in the Faculty Course Evaluation discussion.
    • Serves as mentor, facilitator, and provides guidance and support for full time faculty, adjunct faculty and staff.
  • Non-Academics Support
    • Monitors and follows-up with faculty that is missing student attendance.
    • Advises students regarding non-academic matters.
    • Act as the project manager to close the academic term correctly (i.e. unposted attendance and unposted final grades)
    • Resolves non-academic issues relating to the nursing program for faculty and students.
  • Accreditation
    • Maintains current personnel documents as required by accrediting agencies. Including new faculty documentation and new fiscal year file documentation (i.e. Attestation Form, Faculty Development Plan).
    • Maintains updated the current faculty teaching approval forms.
    • Participate in the accreditation process.
  • Budget and Fiscal Responsibility
    • Prepares and monitors the annual nursing program budget in consultation with the Campus Director of Nursing.
    • Approves purchases for Skills Lab and academic resources.
    • Send monthly reports to the Corporate Director Accounting and Treasury Manager to charge nursing fees to students' ledger.
    • Order checks and stipends.
    • Manage payable accounts and GL Code assignments.
    • Ensure that faculty (full-time and adjunct) has a balanced workload model score. Maintain low costs of adjunct utilization and overtime and maximize the full-time faculty load.
  • Payroll
    • Keeps ADP system roster of nursing associates accurate.
    • Approves payroll in a timely manner. Inputs faculty payroll hours (as back-up).
    • Approve PTOs in ADP system.
    • Assist the nursing leadership by facilitating frequent reports of approved PTOs to identify back up coverage.
  • ATI Account Management
    • Serve as a campus liaison with ATI Company.
    • Schedule campus visits and training.
    • Schedule, coordinate, and motivate faculty training compliance.
    • Provide CDN Codes form to students that need re-alignment.
    • Create ATI orders in eRequester.
    • Manage credits and distribution.
  • Facilities and Information Technologies
    • Ensures that nursing associates and faculty has access to applications including ADP hand scan system.
    • Maintain updated all Microsoft Outlook Groups pertaining to the nursing team.
    • Basic campus maintenance.
    • Serve as the backup evacuation coordinator.
  • Policies and Procedures
    • Serves as the key communicator of university policies and procedures to the appropriate audience, and making recommendations for change as necessary through the Campus Director of Nursing.
    • Ensures that sphere of influence is managed in a similar fashion to those serving in the same capacity at other campuses to promote �one university� approach.
    • Manage all nursing students' incident reports and collaborate with Campus Associate Director of Nursing, Clinical Education, Campus Director of Nursing, and HR Department.
    • Manage all nursing associates' incident reports and collaborate with Campus Associate Directors, Clinical Education and/or Academics,, Campus Director of Nursing, and HR Department.
  • Others
    • Provides input to annual campus goals.
    • Participates in University wide committees as assigned.
  • General Scope of Responsibilities: Participates in professional development and organizations in order to maintain an understanding of current ideas, research and practices, attends meetings, workshops and seminars to enrich personal growth, knowledge and skill in management development.
  • Maintains professional appearance for position and serves as a role model, leader and mentor to the campus community.
  • Adheres to University policies and procedures and provides leadership to all staff through guidance and example.
  • Maintains regular and timely attendance, reports to work as scheduled and assures time worked and/or time-off is recorded properly.
  • Conducts job responsibilities in accordance with the standards set out in the University's Code of Ethical Conduct, Compliance Agreement, Sexual Harassment Policy or any of its policies and procedures, applicable federal and states laws, and applicable professional standards.
  • Maintains confidentiality of all student, associate, and/or university information as required.
  • Exercises care, proper use and maintenance of department equipment and supplies and identifies unsafe conditions and makes appropriate adjustments.
  • Maintains order, cleanliness and safety at work.
  • Performs other job duties as assigned.

Required Education, Certifications, and Licensures

  • A Master's or higher degree from an accredited college or university which includes coursework in education or business administration is required.

Required Experience and Skills

  • Minimum three year's prior experience with office management and personnel supervision.
  • Knowledge in technological support and delivery of educational programs and services.
  • Knowledge and evidence of strong supervisory and management skills, and administrative systems management as applicable to specialized program area.
  • Knowledge of state, federal and local laws/regulations relating to programs, governmental compliance and other regulatory standards such as WSCUC, CCNE, and other accreditation standards.
