Confidential Secretary
Summary: Serve as Confidential Secretary/Administrative Assistant to the Director of the Service & Support Administration.
Essential Duties and Responsibilities: includes the following. Other duties may be assigned.
- Assist with documentation and reports pertaining to staff disciplinary and grievance processes.
- Coordinate schedules and appointments for the Director of the Service & Support Administration and the Service & Support Administration Managers; notify parties of meetings or appointments.
- Gather and input all information from various staff for monthly board report.
- Perform typing and clerical tasks of a general and routine manner, produce finished copy from rough written copy, brief oral instruction, involving correspondence, reports, or other materials of technical or confidential nature; compose and respond to routine correspondence; prepares correspondence and reports and manages report deadlines; provides clerical supports for other Service & Support Administration staff as needed within the department.
- May be asked to assist other departments, within the agency, with clerical work, covering phones, as well as, front office security when needed.
- Inventory and order office supplies and small equipment. Complete Purchase Orders/Check Requisitions for Provider Supports, trainings, conferences, memberships, food items, etc. Be knowledgeable about budget amounts, account numbers, and expenditures. Keep record of budget expenditures to compare with monthly financials, so aware of balances.
- Develop, maintain office forms, submitting for revision as needed.
- File confidential, general correspondence, and related data for Director of the Service and Support Administration.
- Assist with scheduling and correspondence for Med Pass training or other trainings as needed.
- Record meeting minutes for various committees; distribute to appropriate personnel.
- Responsible for all individual files (previously Adult Services, Transportation, Community Employment, Health Services, OOD) that are maintained on the Private Drive electronically or physically in the mezzanine or offices.
- This also includes the Intellivue data base storage; documents are scanned and indexed then checked for errors and QA.
- Notify Human Resources of all staff changes including new employees, terminations, and status changes.
- Participate as a member of the Records Committee, attending quarterly meetings; also participate in the Administrative Support quarterly meetings.
- Answer Service and Support Administration phones and route appropriate messages, internal walkie-talkies, and respond to all needed calls in a timely fashion.
- Perform other related duties as requested by Manager/Director.
Qualifications: High School Diploma or equivalency; one to two years related experience and/or training strongly preferred.

- Must meet agency computer competency level requirements.
- Must meet agency driving requirements. Must hold valid State of Ohio driver's license.
- Must successfully complete a BCII background check.
- Must meet all other agency employment requirements. Must meet all requirements as outlined on the corresponding job description.
Salary: At least $31,200 annually, to commensurate with combined education and experience
Hours: 40 hours per week
Available: Immediate start available
