Position Summary

The Executive Director, Clinic Operations must have an instinctive and comprehensive understanding of world class, independent physician groups, clinic patient care & service, and team leadership and management.  As the highest practice executive in their Care Center managing a team of senior management that have direct oversight of essential functions of the facilities under their direction, they will take the lead in building structures for success. The Executive Director will ensure there is an operational infrastructure that supports current and projected growth for their Care Centers and consistent with Proliance Surgeons as a strategy as a whole. This individual is also expected to serve as a leader on Proliance Committees and ad-hoc teams to champion initiatives where they may have particular expertise.

The Executive Director, Clinic and Surgery Center Operations will provide in-depth knowledge and expertise in the areas of physician practice management, governance, finance, marketing, revenue cycle, information systems and human resources.  He or She will provide direction, coaching and mentorship to senior leadership and others regarding all business as a means of continuous improvement, maintaining or enhancing integrity of all employee and patient experiences and improving financial viability of each clinic.  The Executive Director, Clinic Operations works closely with appropriate members of the Central Service Office (CSO) and reports directly to the Proliance Chief Operations Officer and to the Physician Leader(s) of their Care Center(s). This position is the highest non-physician role of their designated locations.

Key Duties and Responsibilities

The key duties and responsibilities of the Executive Director include, but are not limited to:

  • Work closely with the Managing Partners, physicians, and Proliance Senior Leadership to strategically orchestrate the care centers’ profitable growth, building the infrastructure and industry relationships that allow the care centers to continue to flourish in a rapidly changing health care market.
  • Develop and direct short- and long-term plans that translate strategic goals into specific, actionable steps, providing leadership and overall direction for all activities related to staff, patient, and surgeons experience, physical office site, information systems, operations and safety. 
  • Actively collaborate, working directly with the physician leadership, Central Service Office leadership and the Care Center(s) to accomplish objectives related to initiatives designed to achieve the Proliance mission and vision.
  • Develop annual action plans and budgets to inform and support the strategic planning process, including initiatives designed to achieve objectives, including appropriate performance metrics.
  • Establish and assume full P&L accountability for their assigned Care Center(s), which includes improving KPIs including patient volumes, accounts receivable management and net income after deduction of operating expenses.
  • Lead a team of Senior Managers to accomplish all strategic and operational objectives. 
  • Provides leadership by planning, developing, and organizing all departments, and by implementing, evaluating, and directing the activities of the Leadership Team
  • Establish and promote a rapport in and among departments to promote interdisciplinary decision-making in daily operations
  • Implement organizational policies as directed by the Care Center(s) Executive Committee and/or the Central Service Office
  • Accept accountability to represent the face of Proliance with outside agencies
  • Develop smart, cost-effective approaches for marketing the care centers, in collaboration with the CSO Marketing staff
  • Build and enhance relationships with appropriate hospitals, care centers and providers
  • Bring a continuous process improvement approach to each of the lines of business comprising the care center
  • Manage physician recruitment, onboarding and compensation administration in partnership with CSO departments as needed.
  • Lead, without necessarily directly managing, all day-to-day operations.

Education/Experience

  • Bachelor’s degree required, Master’s degree preferred, in health care administration, business or related field.  Experience in lieu of formal degree will be considered
  • Five or more years in health care administration positions of increasing responsibility, ideally in an independent medical group environment and involving the management of clinics or ambulatory surgery centers and ancillary services
  • Experienced leader with an established collaborative style who influences change and builds consensus for ideas and recommendations that move organizations forward
  • Determined experience extending compassion for colleagues and subordinates and able to sustain collegiality and team orientation in a high-performance culture

Knowledge, Skills and Abilities

  • Knowledge of computerized information systems
  • Knowledge of practice management software, PACS, EMR/EHR and MS Office applications, including Word, Excel, and PowerPoint
  • Working knowledge of reimbursement regulations and compliance laws and policies
  • Working knowledge of regulations and guidelines pertaining to healthcare administration
  • Working knowledge of and experience with the rapidly changing health care market and a Care Center’s positioning in it
  • Demonstrated expertise in finance, human resources, marketing, operations and strategy
  • Proven ability to think strategically, broadly, and creatively while also serving as a hands-on leader and a high performing individual contributor
  • Demonstrated excellent judgment, understands what s/he does not know and what questions to ask to reach well informed decisions that minimize risk
  • Superior communication skills and unquestioned ethics and integrity

  • Advanced knowledge of revenue cycle management process and experience with improving revenue cycle metrics and benchmarks.
