Finance and Administration Assistant
Columbia State Community College is seeking a detail-oriented Finance and Administration Assistant to provide administrative support to the Vice President of Finance and Administration and related departments. This role involves managing calendars, coordinating correspondence, maintaining records, and assisting with department processes.
Job Purpose: This is an office assistant position responsible to an executive level position and/or department. The assistant is responsible for assisting the Vice President of Finance and Administration as well as assisting areas reporting to the Vice President. Essential Functions: 1. Provide general secretarial and administrative support for the department. 2. Maintain appointment calendars, office files, records and supply inventory. 3. Assist with processes/procedures specific to department. 4. Coordinate correspondence to other departments on behalf of the executive. 5. Serve as a contact person for executive and department. 6. Maintain files for executive and department. 7. Assist in data gathering and processing as needed. Strong Excel skills required. 8. Serve as a backup cashier when needed. 9. Assist with entering purchase requests into SciQuest for Finance and Administration. 10. Serve as a resource for WebTime Entry for the College. 11. Assist with the timely completion and updates of required reports for departments reporting to the Vice President. Supplemental Functions: 1. Actively participate on institutional committees 2. Other duties as assigned. Job Specifications: Education, Training and Experience Required: High School Diploma or equivalent and minimum of 5 years administrative assistant or office assistant experience or Associates Degree and minimum of 3 years related experience. Knowledge, Skills, Abilities and Work Characteristics: 1. Ability to communicate effectively in written and spoken English. 2. Knowledge of basic computer skills, which must include at a minimum word processing, email, spreadsheets, Internet searches. 3. Strong spreadsheet skills are needed for successfully working with the Administration and Finance Office. 4. Strong organizational skills. 5. Knowledge of basic office equipment such as telephone, keyboarding, copy machine, and fax. 6. Experience with student information systems preferred. Working Conditions: 1. Work 37.5 hours per week with the flexibility to work over-time during peak periods. 2. Sitting and typing. 3. Walking, standing, filing. 4. Some lifting and reaching (to place boxes on shelves). 5. Some bending. 6. Visual and hand usage of PC. Titles Supervised: Student workersHiring Salary Range: $35,200- $42,200
This position is based at the Columbia, TN Campus.
