Job Summary

This Finance Associate position falls within the Finance Department of the Phillips Brooks House Center for Public Service and Engaged Scholarship. The position supports the financial operations of both the PBH Center as well as the Phillips Brooks House Association (PBHA), the separate non-profit entity and the largest component of the PBH Center.

This is a renewable one-year term position.

Position Description

  • Provides A/P and administrative support to the PBHA Financial Administrator, PBHA student treasurer and the PBH department finance team through various platforms and system including but not limited to B2P, Jotform, QuickBooks Online and Harvard term billing (my.harvard).
  • Works collaboratively with the overall PBH Department finance team including attending and completing regular payment related check-in’s with various department program managers
  • Responsible for processing PBHA reimbursement requests, monitoring A/P and A/R email accounts.
  • Prepares weekly ACH payment batches and enter transactions into QuickBooks Online
  • Processes all of PBHA’s credit card transactions from its separate banking institution
  • Works in collaboration with the other Finance Associate to ensure timely A/P and A/R related communication and problem resolution
  • Together with the second Finance Associate, monitors and reconciles (including matching donations to specific PBHA programs within QuickBooks GL)
  •  Performs weekly check scans and tracking incoming cash and check donation and corresponding documentations received by PBHA. 
  • Contributes to the completion of monthly KPI reports and other critical financial reports that tracks PBHA-related transactions. Attend weekly finance meeting
  • Serves as primary backup and liaison for the other department finance associate and PBHA Finance Administrator when needed
  • Assists with the annual PBHA financial audit by completing assigned auditor A/R and A/P selections and gather Quickbooks reports assigned by the Director of Administration and Finance 

Basic Qualifications

  • Associate’s Degree or a minimum of two years of relevant job experience  

Additional Qualifications and Skills

  •  Experience with essential financial operations
  • Attention to detail, great organizational & communication skills
  • the ability to adapt to new finance related systems and platforms.
  • Knowledge of QuickBooks and Salesforce is preferred.

Physical Requirements

Must be able to sit and work in front of a computer monitor throughout the workday. Must be able to lift 20 lbs.

Working Conditions

This is an in person position with the possibilty of a hybrid schedule. 

Work Format Details

This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
