Position Description

Financial Administration (FAD) is dedicated to advancing Harvard University’s teaching and research mission by stewarding its resources; providing support, guidance, and consultation; ensuring compliance with University and federal guidelines; mitigating risk; pursuing operational excellence; and promoting the financial health of the University.

Reporting directly to the Director of Risk Strategy & Insurance, this role is ideal for those who like working with numbers and data and using data to help drive outcomes. It performs a range of complex and confidential finance and administrative related duties to support the business unit and manage specified projects/programs in a department that works across the university. This is a hands-on position which requires integrity with confidential and sensitive information, strong attention to detail, accuracy, excellent communication and interpersonal skills as well as the ability to perform multiple tasks and meet deadlines. 

  • Facilitates all department accounts payable and receivable recording, reporting and disbursements. Prepares and submits invoices for payment, receipts for deposit, and processes charges and reimbursements across units. Research discrepancies as required.
  • Prepares multiple complex and varied financial reports (including ad hoc reports) that require selection, preparation, and interpretation of data using complex data query tools.
  • Establishes and manages accounting record keeping systems, and procedures for tracking and reporting, including recommending remedial measures.
  • Works with program managers to assist with reconciliation and reimbursement of claims as well as financial tracking and documentation for claims. 
  • Serves as
    • principal finance and administrative contact for the department with university constituents and external contacts. Triages and monitors inquiries (phone, in-person and digital) and receivables and accordingly reviews, responds or routes for response.
    • back-up for critical team functions and cross-trains with other team members.
  • Responsible for maintaining assigned projects/programs and working with constituents across the university. Such projects/programs may include but are not limited to:
    • University fleet schedule and coordination of registration renewals
    • Department schedules and information repositories including RMIS (Risk Management Information System)
  • Reviews and produces data, providing research and data analysis to present for use in planning and decision making
  • Performs data discovery and analysis to help identify trends, patterns, and insights and creates reports, dashboards and visualizations to inform business decisions.
  • Writes, implements, and maintains well-structured procedures.  
  • May manage complex calendars for the director and specified projects.
  • Uses multiple applications including word processing, database management, spreadsheets, graphics and presentation software, electronic calendar, email, and other industry specific (including RMIS) applications for preparing requested information to support the department and manage projects. 
  • Collaborates with the Office of Finance & Administration to maintain department website.

Basic Qualifications

  • 3+ years related experience with proven finance/bookkeeping skills.
  • Proficient in excel, data organization, integrity and analysis.
  • Good project management skills.

  • College degree preferred, or an equivalent of education plus experience in a similar environment.
  • Must be well organized, motivated, detail-oriented and proficient in the use of spreadsheets and database programs, as well as accounting and bookkeeping software.
  • Attention to detail and excellent communication skills, both oral and written.
  • Solid working knowledge of office processes and business policy development, basic project management, and related computer software and electronic communications tools.
  • Proven interpersonal skills with experience providing complex administrative support in a high-profile environment with tact and diplomacy.
  • Ability to work across teams and with a variety of projects and constituencies and to prioritize tasks effectively.

Work Format Details

This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
