Job Summary
As a Program Coordinator, you will maintain a high level of professionalism, teamwork and a focus on customer service. While programs are running, you will assist with travel, onboarding, meals, answering questions, and directing participants. In addition, you will work with your team on the continuous improvement of programs, processes and procedures. You will develop strong working relationships with Executive Education colleagues in all units, as well as program faculty, Bloomberg Harvard colleagues, Bloomberg Philanthropies, other School departments, other University Schools and vendors.
You will provide critical direction in the delivery of the Bloomberg Harvard portfolio of programing both on-site (MA and NY) and online before, during, and after each program session. Position Description
This role will support the team with both the participant and curriculum coordination:
As a Participant Coordinator, you’ll be responsible for tracking all enrollment information materials for our participants. You will be a main point of contact for our participants, answering questions prior to travel and assisting them with travel and housing arrangements, including on-site meals. You will plan and implement special events for programs and, when needed, works closely with Bloomberg Philanthropies events team.
Specific duties include:
- Program Execution
- Unique onboarding requirements for each program depending on location and audience
- Work with different vendors to coordinate participant travel: Canvas, hotels, Uber
- Online session run of show / detailing of session plans
- Coordination with HELIX
- Pre-session preparation for panels and interviews
- Studio tours for faculty
- Setup of classroom at donor facilities
- Cohort Management – Participant Support
- Set up of salesforce admissions and onboarding portal; IT troubleshooting
- Manage applications and follow up with cities
- Advanced Salesforce use: email templates, campaigns, reports, tracking, data management
- Coordination of open enrollment scholarships
- Follow ups to ensure attendance
- Initiative inbox management –providing ongoing customer service for all participants
- Coordination of onboarding and pre-launch activity (including individual mayor calls)
- Program Development – Faculty
- Multiple planning meetings/workshops with faculty to ensure alignment
- Translate output from faculty planning meetings into session sheets and other deliverables for participants
- Assure common use of terms within programs and across program materials, slides, plans
- Background info on cities and participants developed for / provided to faculty
- Program Development – Staff Teams
- Alignment of tasks / responsibilities for each program; each program includes coordination with:
- Curriculum Development on timelines and versions of cases and materials
- Impact Assessment for each program to deploy, manage, and follow up on evaluations
- City Support on follow ups, year-long tracks, fellowships, panels
- Comms on applications, welcome letters, marketing, and swag o External Partners that are involved in the delivery and development of programs
- Operations on Salesforce (in non-EE instance - i.e. instance managed at Bloomberg Center)
- Alignment of tasks / responsibilities for each program; each program includes coordination with:
- Donor Management
- Materials sent, and explained, regularly before each program
- Answer ongoing questions
- NYC-based sessions: Work with production teams (materials sent in advance, meetings, test runs, onsite problem solving)
- Online sessions: Attendance tracking and reporting
- Coordination re: key speakers, bios when leverage donor network
- Weekly meetings to ensure alignment in all aspects of program
In addition, you will participate on other Bloomberg Harvard City Leadership Initiative administrative projects and duties as required.
Basic Qualifications
4 years of administrative or program coordination experience

- A team player, who is flexible, adaptable and comfortable working in a fast-paced, culturally diverse environment.
- Ability to work independently, take initiative and manage multiple projects at once.
- Strong interpersonal skills, with a proactive and positive customer service approach.
- Keen attention to details and accuracy
- Interest in Public Policy or City Government is a plus as is some experience with Salesforce, Zoom and Canvas or similar technology.
- Spanish or Portuguese language is a bonus – though not required.

Salary Range: $65,653 - $104,471
Note: Starting salaries typically fall in the lower half of the salary range; however, they are ultimately determined by the scope of the position, the candidate's relevant experience, and internal equity.
Work Format Details
This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
