Job Summary

Administrative assistant duties including reception (phones, office, email). Will schedule meetings and assist with calendars for small professional staff. MS Office, i.e., Word, Excel, Outlook skills required; some record-keeping and data base management, electronic and physical filing and archiving (boxing, labeling, storage process). Will help prepare files for archiving and perform scanning.

Coordinate meeting and events: 1. Virtual — Will coordinate virtual meeting planning and facilitation (via Zoom, Teams, etc.); during virtual events, will act as technical facilitator/co-host to assist with any technical support needed. 2. On location — Facilitates events, room reservations, signage, A/V, food and drinks, duplicating handouts. For virtual and in-person meetings and events, will support the office, sponsors, participants and presenters in all aspects of planning, execution, and evaluation.

Other duties may include assistance with office supplies; inventory and surplus assistance; office equipment monitoring; procurement of goods and services; processing reimbursements; account reconciliation; place maintenance or computing requests; mail duties; runner for departmental needs.





Skills / Knowledge / Abilities

MS Office, i.e., Word, Excel, Outlook skills required.

Positive customer service skills expected with employees, students, faculty, and stakeholders, in all forms of communication and interactions. Professional discretion is a must, in handling of confidential information, office decorum, etc.

SAP, database experience, website maintenance a plus, but not required.
