Job Title STEPS Administrative Assistant Requisition Number TE08471 Department Name 1B260:Student Support Services Work Location Lexington, KY Salary Range $19.00 - $24.00/hour Type of Position Temporary Position Time Status Full-Time Required Education High School Education/AA preferred Required Related Experience Budget management, Grant management Required License/Registration/Certification N/A Physical Requirements General office environment, occasional walking, lift 20lbs Shift Monday-Friday 8am-5pm Job Summary Perform administrative support functions for the Student Support Services (SSS) Department which includes, assisting with travel plans, staff conference registration, sending emails, communicating with campus partners, coordinating meetings, submitting surplus forms, gathering data for the annual equipment and space inventory, processing correspondence, and submitting job orders. This position will work with the Student Success Business Office (SSBO) to process university and vendor business forms. Provide direct support to SSS Director and SSBO hiring officials during new staff hire searches. Work with the Program Advisor’s (Learning Skills Specialist and Counselor) and SSBO during the tutor and peer coaching hiring process. This person will approve work study students’ time sheets and support the Program Advisors with payroll documentation and process. Work with the SSBO financial staff to prepare and submit SAG forms for SSS scholarships. Additionally, they will maintain and manage departmental files, work with the Director to coordinate onboarding of new staff, take meeting minutes and distribute to attendees, and work with the Student Success Marketing and Communications team to maintain social media platforms. This person will independently trouble shoot problems for professional staff, faculty, students, parents, and other office visitors. All functions of SAP for the SSS office, prepare monthly budget report and reconciliation for departmental/pertinent accounts, perform as time administrator to oversee payroll entries, monitor purchases for office along with the director, process travel reimbursements, and input new temporary/part-time staff in SAP.
